How we design a tailor-made incentive programme

Every incentive programme starts from a brief: group size, corporate objectives, budget, duration and where participants are travelling from. From there we build an itinerary that alternates high-impact moments with informal time together, because it is often in the gaps that a working group turns into a team. We do not sell pre-packaged programmes: every proposal starts from scratch.

As a DMC we handle delivery ourselves: airport transfers, meet and greet, accommodation, guides in the group's own language, permits for after-hours site openings, staging and gala dinners. The client has one point of contact for the whole programme, and every supplier on the ground reports to us.

The experiences that make an incentive trip in Sicily memorable

The island allows combinations that are hard to reproduce elsewhere. We secured an after-hours opening of the Valley of the Temples for a gala dinner at Villa Athena, overlooking the floodlit Temple of Concordia. We have taken groups by jeep onto Mount Etna with a tasting at Gambino Winery, by boat to the Egadi Islands, through the salt pans between Trapani and Marsala with a sommelier-led tasting, and into the historic Florio wine cellars in Marsala.

Alongside the classics we build experiences rooted in local identity: a gala dinner in the Tonnara di Bagheria, a roaming dinner in a castle with the Cialoma folk group, a day in the village of Castelbuono, a UNESCO Creative City, with the Cordella dance in Petralia and the Opera dei Pupi puppet theatre, recognised by UNESCO as intangible heritage. Large-scale incentives: what we have delivered

Between 2023 and 2025 we delivered seven corporate programmes in Sicily across incentive and MICE formats, for more than 1,700 participants in total. They range from a three-day incentive for around 150 people based at the Verdura Resort near Sciacca, to an event for around 400 participants split between Catania and Taormina, to a four-day incentive for around 280 people across the Madonie mountains and the Palermo coast.

Scale matters, because an incentive changes character as it grows: forty people travel on one coach, four hundred require parallel flows, multiple venues, staggered service and a fallback plan for every outdoor activity. Having already run those volumes is the difference between a proposal that looks plausible and one that is actually deliverable.

When to run an incentive trip in Sicily

The operating season is long. The best windows are March to June and September to November: ideal temperatures for the full range of outdoor activities, quieter archaeological sites and lower accommodation costs. July and August remain fully operational, with programmes rebalanced towards cooler hours, coastal and sea-based experiences and air-conditioned venues. Winter works well for city-based and conference programmes in Palermo and Catania.

Logistically the island has two international airports, Palermo and Catania, with direct connections from the main European cities. For groups travelling from the United States, Sicily is reached through the major European hubs with a single onward connection, which keeps the transfer manageable even for large delegations.

Why work with a local DMC in Italy

A DMC, or Destination Management Company, is the operator that turns a plan into execution on the ground. The difference from an agency working remotely is access: after-hours openings of archaeological sites, private residences such as Palazzo Biscari in Catania, castles, wine producers. These are relationships built by living in a place, not by booking it.

Pronto Tours works in Sicily from an operational office in Palermo, with agencies, tour operators and event planners in Italy and abroad who already have the client and need a local partner for ground delivery. What is an incentive trip?

How long does an incentive trip in Sicily usually last?

Three or four days is the most common length, enough to combine two or three areas of the island without excessive travel time. Programmes that include a full regional grand tour run to six days. On request we also design short two-day formats focused on a single area.

How many participants can you handle?

We have delivered programmes for around 100 to around 400 participants. Above 200 people an event is organised with parallel flows, multiple venues and coordinated service shifts: this is the format we run most often for international delegations.
